Job Summary:
The Community Associations Support Specialist provides technical and administrative support to ensure the functionality and efficiency of the operations of the Community Association’s Collections Practice.
Key Responsibilities:
- Accurately input client information, including individual account details and other relevant data into internal databases. Complete system updates at both the client and matter level.
- Complete data entry for new collection accounts to facilitate timely initiation of collection efforts. Verify the accuracy and completeness of the information provided by clients and/or management companies, ensuring all necessary details are captured correctly.
- Assist CA Practice with overflow support and coverage. Collaborate with Intake Coordinator and Support Specialists to coordinate data entry efforts and ensure consistency across the organization.
- Organize and maintain electronic records in a systematic manner, ensuring easy retrieval and access when needed.
- Receive, review, and process invoices from vendors, suppliers, and service providers in a timely and accurate manner. Verify the accuracy and completeness of invoices, ensuring they match purchase orders, contracts, and other supporting documentation before proceeding with payment.
- Provide guidance and training to new staff members on data entry procedures, software systems, and best practices to ensure accurate and efficient data management.
- Identify opportunities for process improvement in data entry procedures or systems to streamline workflows, enhance accuracy, and increase efficiency.
- Ensure compliance with organizational policies, procedures, and regulatory requirements related to data entry, privacy, and security. Maintain strict confidentiality and discretion when handling sensitive debtor information.
- Organize and prioritize workload to meet deadlines and accomplish assigned tasks within established timelines.
- Performs other duties as assigned.
Skills and Abilities:

- Possess expertise in word processing and office productivity programs such as Microsoft Office Suite, E-filing platforms, LexisNexis/Courtlink, PACER, TLOxp, Land Record Databases by jurisdiction, etc. Display aptitude for learning new and additional software and databases.
- Keep personal work area and tasks organized.
- Able to work within time constraints. Manage own tasks and meet deadlines.
- Collaborate effectively and prioritize work tasks within a team.
- Apply technical skills to solve job-specific problems.
Education and Experience:
- High School Diploma or G.E.D.
- One or more years of administrative/clerical experience, preferably in a professional office environment.
